Resources for BFF Grantees

  • Publicity and Outreach

    As a BFF grant recipient, you are responsible for all publicity and outreach related to your project. This may include sharing information with the public to promote your upcoming presentations, publications, performances, openings or other events. BFF staff will also share these activities through BFF/PS1 publicity channels. To facilitate communication between grantees and BFF staff of future happenings, grantees will use the PR/Social Media Request form and the following process (please refer to 8, 8a, and 9 of your contract).  

    Process for submitting PR/Social Media Requests to BFF staff

    The PR/Social Media Request form should be used to notify BFF staff of news and/or progress you’d like to share publicly via BFF/PS1 means. This may include events, but the form may also be used to make announcements and publicize noteworthy points in your process. There is even an option for internal dialogue with BFF staff.

    1. At least two weeks in advance, log into your BFF Submittable account, and open a PR/Social Media Request located with your Additional Forms. Artist leads/collaborators are able to initiate these forms as needed. 

    2. Select one category that best fits the content you’d like to share (see descriptions below)

    3. Fill out the necessary information following the instructions and upload any associated media

    4. Submit two weeks prior to the live date of your grant activity. This gives BFF staff ample time to share your news!

    Events include public-facing activities and engagements (whether virtual or physical). Please use this option if you are intending to notify the public of a future event or opportunity, especially if it requires prior registration.

    Announcements will typically highlight an achievement or adjacent support tied to your BFF grant.

    Process Spotlights are teasers, a chance for you and your collaborators to point to notable steps in your process. This format is ideal for Research/Development grantees who may not have many public-facing events during 2026. It’s also an option open to all grantees to elaborate on their artistic practice and evolving BFF pursuits.

    Internal (for BFF staff only) this is reserved for anything you’d like to share with BFF staff related to your project or research/development that isn’t promotional or intended for the public. Anything you submit under this category will be used for internal conversations and questions between you and BFF staff. None of the Internal submissions will be made public unless otherwise requested and approved by the grantee.

    Each BFF grantee currently has three PR/Social Media Request forms located with your Additional Forms in Submittable. Please keep in mind, some BFF endeavors will require more requests than others. BFF staff will add forms when the need arises, but if you notice you’re out before we do, please send us a message via Submittable or info@bigfieldfund.org.

    Make sure to submit the form 2 weeks in advance of any live event or anticipated announcement. If you submit a request and realize you need to make a change, please request an edit promptly. 

    Note: PS1/BFF Staff reserve the right to edit materials when necessary.

  • Acknowledgements

    For the duration of your grant term, as you promote or publicize your project, through events and programming as well as through different forms of media, you will also credit Public Space One and the BFF program. This includes in any and all publications, websites, emails, printed materials, etc (refer to section 10 of your contract). Use the following guidelines to ensure credit is given:

    • Of note, this is not a grant directly from The Andy Warhol Foundation for the Visual Arts. This is part of the foundation’s Regional Regranting Program that funds organizations like Public Space One to facilitate funding projects in their cities or regions.

    • List the BFF website address in your correspondences and publicity: https://www.bigfieldfund.org/

    • Use the BFF logos as you develop your promotional materials. You can download Big Field Fund logos here. We’ve included options for both print and digital media.

    • Use the following language on all promotional materials related to your project: “Support for this work is provided by Big Field Fund, a program of Public Space One. Funding is provided by the Andy Warhol Foundation for the Visual Arts.”

    • Any reproduction or exhibition of your project or any portion of the project will bear the credit line “Support for this work was provided by Big Field Fund, a program of Public Space One. Funding was provided by the Andy Warhol Foundation for the Visual Arts.” 

    • Additional funders of the reproduction or re-exhibition of the Project should also be credited as appropriate.

  • Final reports are due by the end of day on November 30th. Disbursement of the final 10% of your grant will not be issued until a final report is submitted. 

    This final report is truly a way for us to gather information and documentation for archiving purposes and to promote the Big Field Fund in the future (take a look at #5 in your BFF contract for the full details). 

    To better prepare for this, attempt to record your process and noteworthy phases throughout the grant year. You can reference your additional form 2025-26 Big Field Fund - Final Report in Submittable for more detail.


    The key components of the report include the following:

    Basic artist/collective information and grant type

    An outline of your research/development and/or completed project (depending on the grant type) as well as your progress toward achieving your proposed goals

    Anticipated future impact

    Support materials related to or resulting from your BFF grant activities (images, text, audio, video etc.)

    Final budget and any significant changes that occurred

    You will also have an opportunity to provide feedback about the BFF program.

    The Creative Capital Artist Lab also offers live online information sessions and conversations. Check the website for upcoming virtual. An archive of previous sessions is also available, so if you miss a live event, you’ll likely have access to a recording.

    Springboard for the Arts (https://springboardforthearts.org/)

    Based in Minnesota, Springboard also offers events with practical advice for artists:

    Springboard also has a free PDF, Work of Art: Business Skills for Artists, with topics relevant to artistic practice and cultural work. Beginning on page 63, you will find information about Promotions. Pages 75-80 specifically have templates and advice regarding press releases.
